Every check is already on the record, by site, by door, by date, and the whole record exports whenever you need it.
Nobody can prove a check happened on the day the spreadsheet says it did.
Each record carries its capture time, its receipt time and its place in the chain. A backdated entry is impossible, and a late one is flagged.
Caretakers lose signal in stairwells and write checks up later from memory.
The field app works offline, scans the door's label to prove presence, and syncs when it is back in signal.
A colleague leaves and the photos, the WhatsApp threads and the knowledge leave with them.
Evidence belongs to the organisation, not the phone. One leaver action closes their access and keeps everything they recorded.
Contractors and caretakers share a login, so nobody can say who actually did the check.
Every person has their own account and second factor. Covering for a colleague is time-boxed and recorded, so the record says whose authority was used.
A contractor's competency certificate expired months ago and nobody noticed until the audit.
Competencies carry an expiry, warn ahead of time, and show against everyone who does the work.
